Overview:

The Architectural Administrator plays a critical role in supporting the architectural team by efficiently managing administrative tasks, coordinating projects, and tracking surveys and quotes for planning purposes. This position requires strong organizational skills, attention to detail, and the ability to work collaboratively with architects, clients, and external vendors. The Architectural Administrator ensures that projects progress smoothly and that essential information is readily available to the architectural team.Key Responsibilities:

Project Coordination:

 Collaborate with architects and project managers to coordinate project activities and timelines.

 Assist in project planning, scheduling, and resource allocation.

 Ensure project files and documentation are organized and up-to-date.

 Facilitate communication among team members, clients, and stakeholders.

Survey Tracking:

 Manage the tracking of site surveys, including scheduling and follow-up.

 Maintain accurate records of survey data and reports.

 Ensure surveys are completed within established deadlines.

Quote Tracking:

 Solicit and collect quotes from various suppliers and contractors as required.

 Maintain a comprehensive database of quotes for use in project planning and cost estimation.

 Monitor and track the status of quotes and follow up as needed.

Administrative Support:

 Prepare and maintain project-related documents, including contracts, permits, and correspondence.

 Manage architectural drawings and documents, ensuring accessibility and version control.

 Assist with the preparation of project proposals and presentations.

 Handle general administrative tasks, such as scheduling meetings, answering phone calls, and managing emails.

Documentation and Reporting:

 Generate and maintain project reports, including progress reports, budget tracking, and status updates.  Ensure compliance with regulatory requirements and industry standards.

Qualifications:

 Proven experience in administrative roles, preferably in an architectural or construction context.

 Strong organizational skills with the ability to prioritize tasks effectively.

 Excellent communication and interpersonal skills.

 Proficiency in project management software and Microsoft Office applications.

 Knowledge of architectural terminology and processes is a plus.

 Attention to detail and a commitment to maintaining accurate records.

 Ability to work independently and as part of a team.

 Familiarity with building codes and regulations may be advantageous.
